Turn inquiries into bookings

Every message from a potential client is a chance to win a booking. The photographers who book the most aren't always the cheapest or the most experienced: they reply fast, make booking easy and follow up. This guide shows you how, using the tools already in your RebookMedia account.

In this guide: reply fast, write replies that book, make booking easy, follow up, and learn from your numbers.

1. Reply fast

People looking for a photographer often contact several at once, and the first helpful reply usually wins. Aim to reply within an hour during working hours.

  1. Verify your mobile number and turn on lead texts, so you hear about new inquiries straight away (see Email and notification settings and Manage your leads).
  2. Check the Attention Required cards on your Home page every day; they show leads and chat messages waiting for you.
  3. Turn on Website chat in Website > Customize so visitors can message you while they are on your website.

2. Write replies that book

A good reply is short, personal and ends with a clear next step:

  1. Thank them and use their name: "Hi Sarah, thanks for reaching out about your listing on Oak Street!"
  2. Answer their question, including the price or a link to your packages.
  3. Show you understand what they need: "For a 3-bedroom home, my Standard package with a floor plan works well."
  4. Give one clear next step: "You can pick a time that suits you here: [your booking link]."

Save your best replies as templates, so a great answer takes seconds (see Use templates for emails and contracts).

3. Make booking easy

  1. Turn on online booking, so clients can choose a service, a time and pay a deposit without any back-and-forth (see Set up online booking).
  2. Keep your availability up to date, so the times you offer are times you can really do.
  3. Send your booking link in every reply, and add it to your email signature and social media.
  4. Make sure your service areas cover everywhere you travel to.

4. Follow up

Many inquiries go quiet simply because people get busy. A friendly follow-up two or three days later wins back a surprising number of bookings:

  1. "Hi Sarah, just checking whether you'd still like photos for Oak Street. I have Thursday morning free if that helps."
  2. Follow up once or twice, then let it go politely.
  3. When a lead books or says yes, turn them into a client in one click from Inbound Leads.

5. Learn from your numbers

Your Home page shows Profile Visits, new messages and new orders. If many people visit but few get in touch, improve your profile and portfolio. If many get in touch but few book, look at your replies and your prices. See Your Home dashboard explained.
