Work with your photo editors

If someone edits your photos, you can now work with them inside RebookMedia. You send your RAW files from the project, your editor sends the finished photos back, you review them, pay, and publish them to your client's gallery. This article explains how to invite your editors and manage them. Editors don't pay a membership fee: they set their own prices.

Where to find it: At the top right of the page, click the grid icon (Navigation Panel) and choose Business, then click Editors in the left menu.

How editing works

  1. Invite the editors you already work with (this article).
  2. Your editor sets up their prices for the kinds of work they edit for you, for example real estate or weddings.
  3. Send a job from the project's Media page: upload the shoot, choose the services, mark photos and add your instructions. See Send photos to your editor.
  4. Review the finished photos side by side with the originals, approve them or ask for changes.
  5. Pay your editor by card through RebookMedia, or record a payment you made another way.
  6. Publish the approved photos to your client's gallery. See Review, pay and publish edited photos.

Your client sees nothing until you publish the photos to the gallery.

Who can use it

  1. Editing jobs are part of most plans. If yours doesn't include them, the Editors page says "Editing jobs aren't included in your plan." and Invite an Editor shows a lock. Click it to see the plans that include editing jobs.
  2. Only the business owner invites editors and sends editing jobs. Team members see "Editors are managed by the business owner."

Invite an editor

  1. On the Editors page, click Invite an Editor. You can also invite from a project's Media page, on the Editing tab.
  2. Enter their Email and, if you like, their First name.
  3. Keep or change the Note for them. It starts with a short message you can edit or remove.
  4. Click Send Invitation. You will see "Invitation sent to [email]."

Your editor gets an email from "[your business] via RebookMedia" with your logo and your note. Their replies come to you.

  1. Someone new to RebookMedia clicks Accept and set your password. The link works for 7 days, and setting the password accepts your invitation.
  2. Someone who already has a RebookMedia account (for example another photographer who also edits) signs in and accepts or declines from their account.
Tip: you can only invite an email that isn't a client account or your own. If the email belongs to one of your clients, ask your editor for another email.

Your editors list

Each editor shows their name, business, email and the kinds of work they take, with a status:

  1. Invited: hasn't accepted yet. Click Resend to send the invitation again.
  2. Onboarding: accepted and still setting up their prices. You can't send them jobs yet.
  3. Live: ready for your jobs in the categories listed.
  4. Declined: turned down your invitation. Click Invite again if they change their mind.
  5. Left: stopped working with you.

See an editor's prices and terms

Click Prices next to an editor. Their price list has a tab for each kind of work they take, with Main edits, Add-ons, Video and Extras. Each service shows its price, what is included, the usual turnaround and sample before and after pictures.

Their Terms at the bottom say:

  1. When you get the full-size files: as soon as you approve, or watermarked previews until you pay.
  2. Whether photos you haven't reviewed are approved automatically after a number of days.
  3. When payment is due: when you approve, or a number of days after.
  4. Who pays the card payment fees: you, the editor, or split 50 / 50.

Your editor sets their prices and terms. The terms in place when you send a job stay with that job.

When an editor can get your jobs

An editor gets jobs for a project only when they take that project's category, for example Real Estate. They turn a category on once its main edit is priced. On a project's Editing tab you only see the editors who take its category. If none of them do, New Editing Job is off and the tab says "None of your editors takes [category] jobs yet." Ask your editor to set up their prices for that category.

Fees

  1. When you pay your editor by card through RebookMedia, there is a RebookMedia fee (a percentage of the job that depends on your plan) and card processing. You see both before you send a job and again when you pay.
  2. Your editor's terms say who pays these fees: you (added to your total), your editor (taken from their payout), or split 50 / 50.
  3. Payments you make another way and record yourself (PayPal, Zelle, Payoneer and others) have no RebookMedia fee and no card processing.

Remove an editor

Click Remove, then Remove? to confirm. You will see "Editor removed. Their own account stays; they just can't get jobs from you." Finish or cancel any jobs you already sent them first.

Troubleshooting

"This email is a client account, please use another email."

Client accounts can't be editors. Ask your editor for a different email.

"[name] already has an invitation waiting. Use Resend in the list."

Click Resend next to their name instead of inviting them again.

My editor didn't get the invitation

Ask them to check their spam folder, then click Resend. The link in the email works for 7 days.

My editor shows Onboarding

They accepted but haven't turned on a category yet. Ask them to finish their price list and turn on the categories they edit for you.

I can't see the Editing tab or invite editors

Editing is for the business owner. If you are the owner, check that your plan includes editing jobs.
